Are you an experienced Administrator within FM?
Do you have experience using CAFM systems?
PRS are working with a well-known Facilities management provider to recruit a Contract administrator. Your primary role would be to provide a comprehensive and flexible contract administration service to the account.

Your day to day
- You will maintain a concise record of all the client transactions.
- You will Liaise with the client representative regularly to help support the team and maintain an exceptional service to the client
- You will assist with the control of financial and commercial aspects of contracts
- You will assist with the production of supporting financial information
- You will maintain and update manual and computer records relating to areas which the clients’ services are responsible
- You will prepare and issue reports which forms parts of the contract and customers’ requirements
- You will administer quality management system documentation and ensure compliance
- You will ensure accurate processing of quotations, purchase orders, invoices time sheets and holiday records are completed by liaising with the site team
- You will undertake general office duties eg. Filing, meeting room setup, document/report preparation, updating electronic records, material ordering, raising PO’s and updating them.
- You will input data into CAFM system.
- You will be collating timesheets from engineers, chasing and checking quality of data
- You will be dealing with contract set-up (PPM / System support)
- You will be responsible for the commercial support on the contract through to final account.
- You will be raising, allocating and regularly updating tasks on the client’s helpdesk systems.
Requirements:
- Experience using CAFM systems (e.g Maximo/ Concept/ Elogbooks)
- Background working within the FM industry
- Experience with general office duties
- Raised purchase order
- 3 years’ experience working in the FM industry
