Job description

We are seeking to recruit an experienced Contract Support Administrator based in Manchester. The role is permanent based on a salary of £23k p.a. – working Monday to Friday – 40 hours per week.




Job Specification:

CAFM system – Ensuring all statutory documentation is controlled and uploaded across PPM and Reactive Works.

Production of Management information to demonstrate KPI compliance across the contract.

Production of Weekly Reports showing Overdue, Due, WIP and completed reactive and quoted works.

Actively monitor CAFM system for any tasks that are nearing the attendance or completion targets and put in actions to prevent KPI failures.

Managing application for payments on quoted and project works.

CAFM system - Ensuring financial information is correct and signed off by relevant management on a weekly/monthly basis.

Raising of Purchase Orders in COUPA and receipting of Purchase orders, plus compilation of all contractual and consumable purchase orders.

Commercial reporting, compilation of P&L for Quoted and Project works

Liaison with Sub Contractors and Suppliers with regards to invoicing and disputes

Liaison with Contract Co-ordinator and management to ensure consistency and unified approach

Management of maintenance plans to ensure statutory compliance across sites

Ensure that all necessary documentation is collated and chased via Sub-Contractors.

Compile documentation for review by management team, to ensure all remedial and extra to contract works are captured consistently.

Liaison and communication with Key Suppliers and Sub-Contractors ensuring KPIs are met across the client contract.

Liaison with site engineers and ensuring follow up actions are effectively communicated to the management team.

Management of Holidays and sickness trackers.

Experience

Experienced in CAFM management systems within Hard and Soft FM.

Excellent organisational, communication and analytical skills.

Be able to prioritise workload and meet contract KPIs consistently.

Be confident in working with remote site teams.

Proficient in Microsoft Office, Word, Excel and Outlook and will be able to produce. management reports in these formats.

Confident to deal with both internal and external customers.

Display High Levels of customer care.
