My client is a well established and leading Facilities Maintenance company who now have an opportunity for an experienced Data Entry Administrator, the successful candidate will be based at their site in the Durham area, this is a full time permanent role based on 37.50 hours per week Monday – Friday salary £21kpa.

Main duties
o  Support full process for archive procedure on site. 
o  Incoming archive – checking packs and archive locally. 
o  Run SAP report and update archive spreadsheet. (SAP experience preferable but not essential)
o  Prep local archive for storage in site admin
o  Retrieve from archives documents on request in a timely manner
o  Completion of SAP transactions
o  Raising, tracking and closing down ECCs
o  Coordinating with others the timely close down of notifications to avoid overdues
o  Track and support/amend PM deviations for the engineering team as required
o  Provide reports to team when requested
o  Complete a weekly print of work orders and maintenance plans for teams
o  Maintain/update documents in client system as required/requested to
o  Liaise with client / client employees in a professional manner
o  Answer telephone calls / take messages as required
o  To support site in the preparation of external, internal audits and events
o  Audit prep/Audit readiness
o  To ensure completion of safety inspections and safety observations for site
o  Jointly responsible for the area’s adherence to the service level agreement
o  Meet all the KPI targets relevant to role
o  Use computer as an effective communication tool, inputting data as requested into excel and word documents
o  To ensure telephone and email etiquette is professional and adhered to at all times, including the answering and directing of calls and emails using the appropriate greeting and sign off

Person Specification
o      Excellent communication skills and exceptional attention to detail
o      Immaculate personal presentation endorsing the Signature five-star image
o      Proven experience and understanding of an exceptional Customer Service delivery 
o      Previous experience with using SAP preferable
o      Good understanding of maintenance plans and work orders
o      Excellent time management and organisational skills
o      Proactive, flexible and can-do attitude
o      The ability to handle complaints and difficult situations in a patient, calm and effective manner and escalate where appropriate
o      Ability to deal with multiple requests simultaneously
o      Computer literate (Word, Excel, PowerPoint, email) and excellent administration skills
o      Team player
o      Be innovative, identifying improvements and smarter ways of working
