Primary purpose of role


The Facilities manager is a key member of the studios management team and is responsible for all aspects of the facilities management. They ensure that all the statutory testing and compliance is in place for the site facilities as well as all aspects of the planned and reactive maintenance at onsite. He/she is expected to carry out all maintenance in a timely and efficient manner. The site is a busy working environment providing media making facilities for various production companies. The Maintenance Team is made up of 5 employees and is a multi-discipline consisting of mechanical, electrical, construction and ground working skills and the successful applicant will be responsible for them. The Post holder is required to be in continuous liaison with other departments, productions and tenants. The Maintenance Team also looks after or monitors a wide range of construction projects. This includes the EFS procurement process and managing of contractors where appropriate.


You will be reporting to the Finance Director and keeping him informed and updated on key matters as a priority and provide him with a monthly facilities management and health and safety report.


Essential Job Functions


·       Ensure buildings meet health and safety requirements and that facilities comply with current relevant legislation

·       Ensure compliance with H&S, ACOP's, Fire Brigade advice, company policy and safe working practices. Maintaining the Asbestos Register, Loler, Fire Risk Assessments and more

  • Liaise with internal and external Health and Safety advisors and be responsible for implementing Health and Safety measures and advice at the EFS Estate.
·       Programme maintenance work schedules, ensuring there are sufficient tasks for all manual staff.

  • Develop, implement and manage Planned Preventative Maintenance Programmes and ensure that all relevant aspects of authorised planned and reactive works are carried out and completed.
  • Ensuring that basic facilities, such as water and heating are well maintained along with periodic testing.
  •  Manage, supervise and coordinate projects as well as the work of contractors.
  • Check that agreed work by staff or contractors has been completed satisfactorily and as per specification and to follow up on any deficiencies
  • Direct, coordinate and plan essential services such as reception, security, maintenance, mail, archiving, cleaning, catering, waste disposal and recycling
  • Ensure all EFS Plant is recorded, maintained, tested and kept in good working order. Ensure the maintenance of the FGas register and consumption is up to date.
  • Apply the workforce to respond to maintenance emergencies out of normal working hours.
  • Monitor and if necessary, revise working practices and staff performance and skills. Ensure proper management of the staff including appraisals and performance management.
  • Promote and maintain a positive, dynamic and creative working environment enabling all employees to realise their optimum potential and contribute fully and ensure that their certificates are updated and appropriate and agreed training is maintained.
  • Promote team working practices that are safe, efficient and effective.
  • Monthly formal management reporting for management and board papers, identifying issues.
  • Prepare documentation to put out for contractors’ tenders, ensuring all contractors are assessed and appropriate to and qualified to undertake the tasks for which they are considered/engaged/ contracted.
  • Oversee small works projects. 
  • Communicate all work programmes and staff rotas to the Studios Management in writing and this must be agreed by the Financial Controller having first conferred with the Production and Tenant Managers.
  • Ensure adequate maintenance staff cover for holiday and weekend work and agree a holiday cover arrangement with part time workers or outside staff providers.
  • Ensure staff rota in such a way that covers production requirements and minimises overtime where possible.
  • On occasions you will be required to respond to out of hours calls.
